You’re engaged (YAY! congratulations!)

...and planning a wedding — but perhaps you’re a bit overwhelmed or unsure where to begin. You may have already considered some of the big decisions like finding your dream venue, setting a date and considering your wedding party, but soon after figuring these things out, you’ll also need to think about the finer details.

One such detail is wedding stationery, covering everything from invitations to wedding signage and table names. The right stationery can be used to tie your wedding theme together, providing guests with a hint of the look you’ve chosen for your special day. It also keeps your wedding organised, helping you provide essential information to friends and family through each step of the process.

To help you tick this vital wedding to-do off your list, we’ve put together the ultimate wedding stationery checklist. From the first save the date to the last “thank you”, here’s every type of stationery you may want to consider.

Before the Wedding

Engagement Party Invitations

If you’re planning to throw an engagement party, sending out invitations is the perfect way to kick off the celebrations and get your guests excited. Engagement parties are optional but are often used to announce or celebrate a recent engagement.

Engagement party invitations don’t have to match your wedding invitations, but it works well if they can be loosely tied to your wedding concept. For example, if you know you want a spring wedding, you may choose our "Daphne” Standard Invitation for its beautiful floral details. As with all Vintage Prints wedding stationery, this invitation can be fully customised with the wording of your choice, so it would be easy to make it into an invite for your engagement party.

Be My Bridesmaid Or Groomsman Cards

Be my bridesmaid or groomsman cards are another optional item on your wedding stationery list, but they make a lovely gesture to your closest friends and family. If you’re having bridesmaids and groomsmen at your wedding, you may want to send personalised “Will You Be My…” cards, which they can keep and treasure forever.

Save the Date Cards

When considering stationery for weddings, save the date cards are an absolute necessity. Save the dates are a way to announce the big day to your loved ones in style and ensure guests have the occasion marked on their calendars well in advance.

Typically sent out between six and twelve months before the wedding, save the dates include basic information such as your names, the date of the wedding and the ceremony location.

If you haven’t booked a venue yet, don’t worry — you could include a more general location in your save the date cards or leave this detail out. You may also opt to have a line on your save the date informing guests that a formal invitation is to follow.

If you’ve got more questions about this essential piece of wedding stationery, take a look at our ultimate save the dates guide.

Change the Date Cards

If you’ve had to postpone your wedding, change the date cards are a way to keep your guests up to date about the change of circumstances. Just like save the date cards, these are available in a wide range of styles and can be customised to fit your theme.

Hen and Stag Party Invitations

If you have a particular theme for your hen or stag parties, you may choose to send out invitations to set the tone and get everyone excited for the event. Any of our invitations can be customised to create hen or stag party invitations — we particularly love our "Speckled" Standard Foil Invitation design to get guests in the party mood.

Wedding Invitations

Wedding invitations are the most crucial piece of wedding stationery, so it’s essential to get them right. Choose a design that reflects your personality, style and wedding theme, and remember to include all the necessary details your guests will need to know. Your wedding invitations can be fun or formal and there are countless styles to choose from. Whether you’d prefer standard wedding invitations, foil invites, folded invitations or something else, you’re sure to find a design you love at Vintage Prints.

RSVP and Information Cards

It’s traditional for wedding invitations to include a separate RSVP card, giving guests the option to formally respond. You may also decide to include separate information cards alongside your invite, providing further details for guests without cluttering your main invitation. Information cards are designed to complement your chosen wedding invitations and may include directions, accommodation details or an itinerary for additional wedding activities. There’s no one rule when deciding what to include on your wedding invitations, but here are 22 things to consider.

At Vintage Prints, we have a stylish selection of wedding invitations available to choose from so you can display your information however you’d prefer. If you’d like to include several cards with your invite, our pocketfold invitations are an excellent choice, coming complete with matching envelopes and allowing you to choose how many cards you need in each invitation pack.

Evening Invitations

Evening invitations can be sent out to guests attending the wedding reception only. These will typically be similar in style to your chosen wedding invitations but feature different wording, making it clear to guests that they are invited to the wedding celebrations rather than the ceremony. At Vintage Prints, we can customise any of our invitations to create evening invites or make changes to our save the date designs for couples who would like to send out save the evening cards.

Invitation Accessories

Add the final finishing touches to your wedding invitations with stylish accessories that are sure to impress your guests. Choose envelope liners to complement your invitation designs, RSVP envelopes for your guests’ responses and bespoke stickers to tie the whole look together. These additional accessories will add a touch of elegance to any wedding invitation.

At the Wedding

Order of Service

The order of service is a booklet containing details about your wedding ceremony. These can be used for civil ceremonies as well as religious weddings, with content that may vary depending on the type of ceremony you’ll be having. The information within your order of service may include the following:

  • Your names

  • The name and location of your wedding venue

  • The data and time of the ceremony

  • Names of the wedding party

  • Entrance of bride with music details

  • Readings

  • Lyrics to hymns or songs

  • Wedding vows

  • Ring exchange

  • Signing of the register

  • Exit of bride and groom with music details

  • Message of thanks

  • Venue and starting time of the reception to follow.

Welcome Sign

Having a welcome sign at your wedding ceremony or reception lets guests know they’re in the right place and sets the tone for the rest of the event. This is the first thing your friends and family will see as they arrive, so your welcome sign should have a design that’s in keeping with the rest of your wedding theme.

Couples having an outdoor wedding may love our "Bumble Bee" Welcome Sign, which is available in A2 or A1 sizes and can be printed on poster card or Foamex board.

Wedding Timeline or Order of Events

Another type of signage you may choose to have at your wedding is a timeline or order of events. These signs let guests know how the day will unfold, from the “I Dos” through to the end of your reception. Like your wedding invitations, these signs can be printed with the design and message of your choice, ensuring they capture your personality and fit the overall look you’re going for.

A wedding timeline or order of events sign typically follows the traditional running order, including scheduled times for the ceremony, photographs, wedding breakfast, speeches, cake cutting and first dance. However, it can easily be adjusted to include any special events you have planned on your big day, whether that’s a cocktail hour or an evening pizza break.

Additional Wedding Signage

There’s signage available for every area of your wedding, from bars and photo booths to sweet buffets. Consider whether you’ll need additional signage at your reception, whether to direct guests or add a splash of personality to your special day. Our "Any Design" Signs are perfect for your custom requirements, with fonts, designs and messages that can all be tweaked to make your vision come to life.

If you have any questions about custom wedding stationery or signage, we’d love to help you get it right. Contact us today to discuss your requirements.

Wedding Favour Tags

Next on the wedding stationery checklist is favour tags, which are a must if you’ll be providing wedding favours at your reception. Personalised labels can be designed to complement your wedding theme and add a pretty finishing touch to gifts for your guests. Our versatile tags can also be used for sweet buffet bags, wishing trees or anything else you may need them for.

Wedding Table Decor

Table Plans

Table plans are often displayed at the entrance of your reception venue, allowing guests to find their seats easily. They can also be framed and placed on each table as individual cards. Whichever style you choose, every aspect of your table plan can be customised and designed to match your wedding table decor for a cohesive aesthetic.

Table Names or Numbers

Don’t forget to include table numbers or names on your wedding stationery list so guests can easily find their assigned seats. While table numbers are the traditional choice, many couples choose themed table names that are meaningful to them, and you should do whatever feels right to you.

Our "Classic Eucalyptus CE14" Table Name/Numbers are a popular choice for elegant weddings and look beautiful styled with flowers or greenery for a natural-inspired look. If you’d like the rest of your wedding stationery to match your chosen table numbers, we’d be happy to arrange this for you.

Place Cards

Place cards are positioned at each guest's seat, ensuring your tables are well organised and the day runs smoothly. Choose from printed place cards available in a wide range of fonts or get creative and order blank cards with space for you to handwrite your guests’ names. Our place cards will be sent to you pre-creased, making folding easy.

Menus

No wedding stationery checklist would be complete without menus, which let guests know what will be served at the meal ahead. At Vintage Prints, we have a wide selection of fully customisable menus available to choose from, whether you’d prefer a classic portrait style or folded menu place cards complete with each guest’s name. If you’re having an autumn wedding, you may like our "Dorothy" Slim Menu, which features beautiful seasonal leaves for a unique look.

After the Wedding

Thank You Cards

Thank you notes are always a nice touch, showing your appreciation to friends and family for celebrating with you on your big day. Thank you cards are sent out to guests shortly after the wedding, thanking them for attending and for any gifts you received. Thank you cards can also be sent to the wedding party to show your gratitude for the duties they performed throughout your ceremony.

Wedding Announcements

If a couple decides to elope or have a very intimate ceremony, they may choose to send out wedding announcements shortly afterwards. These are designed to announce a marriage to family and friends. If wedding announcements are something you’re looking for, we’d be happy to alter any of our existing wedding stationery to meet your requirements — one of our square invitations would be a great option.

We hope this checklist has been helpful and shown that stationery for weddings doesn’t have to be overwhelming. Remember, it’s your wedding day, so you can choose the stationery that works for you and skip anything you don’t need.
